Finding the Right Conference Room in Berlin
Four details determine whether a venue can support your event program. Clarifying them upfront saves you three site visits and a cancellation two weeks before the date.

Plenary & Seating Layouts
Square footage tells you very little—seating layout tells you everything. Theatre-style seating requires roughly 1 m² per person including aisles, while classroom-style setup with tables demands almost double that. The exact same footprint fits either 200 audience members or 110 participants taking notes. Then factor in sightlines: support pillars cost you the back rows, while flat floors drain engagement beyond row 10.

Breakouts & Routing
Parallel sessions only work if the transition takes less than ten minutes. That means breakout spaces need to be in the same building – not two streets away. You also need to factor in check-in and the required counters. With 200 guests and a 30-minute arrival window, you’ll need four of them. Otherwise, half your attendees will still be outside when the keynote starts.

Tech & Acoustics
For clear speech intelligibility, you need a reverberation time of around one second. Industrial venues with ceiling heights of 7 or 15 metres are often well above that. It can be solved with acoustic absorbers and line-array sound systems, but that needs to be part of the budget – not a surprise on setup day. The same applies to Wi-Fi: plan for two to three devices per person. With 200 guests, that means around 500 simultaneous connections, not 200.

Location & Arrival
For international speakers, proximity to BER Airport and the hotel matters. For full-day formats, good public transport connections are crucial for morning arrivals. Suppliers and production crews have different priorities: a loading zone that can accommodate a 7.5-ton truck and a delivery window that doesn’t clash with rush hour. We plan the event around your requirements and organise the logistics and access accordingly.

Agenda & Pacing
We build the schedule down to the minute, working backwards from the end. That determines the length of breaks, session slots and buffer times. Every programme item has a designated person responsible, and every transition has a clear cue. If a speaker runs over, a predefined shortening rule kicks in instead of last-minute improvisation.
Speaker & VIP Handling
Pick-up, speaker-ready room, and a technical check of the presentation before the event starts – not during the break right before the session. We brief moderators and speakers on timing and Q&A rules, coordinate microphone handovers, and keep routes discreet for executives and members of the press. If a speaker drops out, we’ve already arranged a suitable replacement in advance.
Check-in & Guest Flow
We size entry counters based on entry windows and guest counts, separate pre-registered guests from walk-ins, and staff the front line to clear bottlenecks rather than manage them. Signage, coat checks, and directional routing to breakout sessions are core components of planning, not afterthoughts for decor.
Tech & Hybrid Setup
We brief and coordinate all production teams for lighting, sound, staging and streaming, and define the interfaces in advance: who runs the presentation, who operates the camera and who handles the audio for the stream. A full technical rehearsal with all speakers takes place either the day before or on the morning of the event. For every critical production area, we have a Plan B in place so we don’t have to improvise on conference day.
Post-Event & Footage
You’ll receive photo and video material, recordings of the sessions for further use, an analysis of participant feedback, and a debrief with key learnings for the next edition. If press coverage is part of the objective, we’ll also provide press materials and a media distribution list. In other words: we factor PR and reach into the planning from the very first briefing.
